Behind-the-Scenes Systems That Keep You Sane
I always talk about how systems will save your business time and money (and they WILL!). But there's something else that they will save - your SANITY.
- Fewer mistakes and headaches
- More control
- A smoother day
That's what having the right systems and processes in place can do for you! They operate behind the scenes, keeping everything organized and running perfectly. Your clients may not know that you have those systems, but they will definitely notice if you DO NOT.
There are 4 categories of systems that really well keep you (and your business) running like a well-oiled machine!
1. Project Management
This is the biggie!! The best project management systems should:
- Keep you on deadline
- Spell out every step for every size project
- Allow your team to stay up-to-date
- Organize templates, forms, questionnaires, and more
- Client documents and paperwork
These processes are literally the engine that will keep EVERYTHING running!
2. Communication
It's key to not only keep your clients up to speed on how things are going, but to also onboard them in the best way possible. And then keep up with them once they are past clients (we forget that TOOOO often!). But that's only ONE of the important communication systems you need to have in place! Which of these do you need to work on?
- For clients - onboarding, contracts, check-in schedule, email templates, etc.
- For your team - regular check-ins, review schedule, meeting schedules, etc.
- For contractors and subs - meeting schedules, timeline check-ins, networking opportunities, etc.
- For your financial team - meeting schedules, regular reporting emails, requests for reports, etc.
3. Financials
So not only do you need to HAVE a financial team in place - like a bookkeeper, accountant, and/or tax advisor - but you also need to have systems in place that let you access those financials AND know where you stand!
- Critical reports done weekly, monthly and yearly
- Schedule of meetings with your team
- Calendar alerts for your taxes and other important deadlines
- List of goals and strategies!
4. Organization
If things in your office are out of control, how in the world can you get anything done efficiently and effectively?? Use systems to keep that chaos out of your life.
- SOPs so it's easy for anyone on your team to know how to perform any task
- Lists of important resources
- Passwords to shared or company accounts like social media
- Internal projects and calendars
- Marketing calendars and schedules
